Hotel Front Desk Stories: 11 Guest Encounters Workers Shared

Working with the public is one of the hardest jobs out there, no matter the industry. You have to remain calm when the person in front of you is upset, angry, tired, confused, or simply looking for someone to solve a problem. You may end up taking the heat for a policy you didn’t write, a mistake you didn’t make, or a system you have no power to change.

And you still have to be polite.

There are also moments when you are the bearer of bad news and, no matter how unusual the situation becomes, laughing is not an option.

I saw this myself years ago at an airport check-in desk. The staff had to tell a woman that she couldn’t fly because her ID card was no longer valid. She had cut the ID card because it didn’t fit in her wallet. Yes, really!!!

She didn’t have a passport, so she had no alternative document to use. Her entire family was going on vacation, the flights and hotel were already paid for, and she argued because she couldn’t understand why cutting a little off the card meant she couldn’t travel. The airline employees had to remain professional and explain, more than once, that they couldn’t accept an altered ID for the flight.

Hotel front-desk workers have their own versions of those conversations. Over the past few days, employees in Reddit’s r/TalesFromTheFrontDesk have been sharing what happened during their shifts, from booking mistakes to requests that became harder to explain with every sentence.

The Reddit stories below are first-person accounts posted by people who identify themselves as hotel employees, so individual incidents can’t be independently verified. A few older TikTok videos show that these exchanges have attracted millions of viewers for years. – one situation (video) has over 54 million views – I will tell you all about it below.

She Showed Up 17 Days Before Her Hotel Reservation

Lets start with a case that involves not one, but many mistakes – and a guest focusing on… her name.

A woman arrived at a hotel and handed the front-desk employee her ID. The name didn’t match the reservation.

According to the employee’s Reddit post, that wasn’t the only issue.

The guest was 19, but the hotel required guests to be at least 21 to check in. Her reservation was an advance-purchase booking made through a third-party site, which meant the employee couldn’t simply change it.

The reservation was also for 17 days later.

The employee explained that the name didn’t match, she didn’t meet the hotel’s minimum age requirement, the reservation couldn’t be changed at the desk, and the booking wasn’t for another 17 days.

The guest’s response returned to the first issue: she said she went by the other name.

In the comments, someone asked about the 17-day mistake. The employee said guests arriving on the wrong date happens at the property roughly twice a week.

A Sold-Out Hotel, Four People and a Room With a King Bed and Pull-Out Sofa

An older hotel encounter is still finding viewers years later. A TikTok posted by @localtumbleweed now has 54.6 million views (you can see it below).

The man in the video was traveling with two adults and two children. The hotel had received a reservation through Booking.com for a king suite with a pull-out sofa, and the property was sold out.

The employee explained that she could check the family into the reserved room or cancel the reservation. The guest kept asking what the family was supposed to do and whether she could put them somewhere else.

Eventually he asked which guests hadn’t checked in yet and whether one of those rooms had two beds.

The employee explained that those rooms were already reserved for other people and couldn’t be taken away.

Another guest who had been listening pointed out that the room had a king bed and a pull-out sofa – two sleeping spaces for four people. The conversation then became heated between the two guests, and the front-desk employee told the man she would cancel his reservation after he became disrespectful toward the other customer.

In a follow-up, we discover that the man had originally booked a more expensive room with two queen beds and a pull-out sofa, canceled it because of the price, and then booked the cheaper king suite through Booking.com.

A lot of viewers made the same point about the sleeping arrangements:

“I mean 4 people. A king bed AND a sofa pullout couch?? 2 people on each. what’s the big problem?”

“So, he booked a specific room. The gets the room. Then he’s angry cause he didn’t think he would really get the room he chose? Great! 😵”

“When he started asking for other peoples rooms, bro 😭😭 You handled this so well”

“The way my tone would have got RUDER and RUDER. You are so patient 😭❤️”

“I would have LOST IT”

“Someone wanted a free upgrade!! You did really well there 👍🏼”

“Horrendous behavior. Kindness matters. You handled this professionally and kindly.”

“He is annoyed and obviously upset but it’s not your fault & you handled this extremely well.”

“When I tell you i HATED being a front desk receptionist at a hotel… we get yelled at, threatened, and more for what???”

“He asked who hasn’t checked in yet like you were give someone else’s room. I worked as an airline ticket agent for 9.5 yrs. ma’am I understand.”

“You’re so calm!!”

“Customer facing is hard, customers always think they are right when they aren’t always.”

As you can see, many people praised her for one thing in particular: how calm she remained while the conversation went in circles.

It reminded me of a much smaller situation I once watched at Hotel Zipser in Vienna. A few Japanese guests asked the front-desk person whether the hot water from the dispenser was 100 degrees Celsius because they wanted it for tea.

The employee assured them that the water was suitable for tea.

Then came another question about whether it was actually 100 degrees. And another. And another. I don’t remember the exact number anymore, but there were at least five versions of essentially the same question.

The employee answered them calmly every time.

He Got Wet Walking Through the Hotel Sprinklers. Then He Asked About Compensation

A guest approached the front desk wet, put down the shoebox he was carrying and announced that he wasn’t happy.

He told the employee he had been walking outside when the hotel’s automated sprinklers came on. According to the front-desk employee, the man eventually asked what the hotel was prepared to do.

The employee explained that the sprinklers were automated. The guest kept going and finally asked, “Aren’t you gonna offer me breakfast or something?”

He was given the manager’s business card. The employee later told a manager what had happened and said management supported the decision not to offer compensation.

Two formal events were held at the property that evening, and hundreds of people moved around the hotel. According to the employee, he was the only person who got wet.

She Asked Where to Find a Fork – Then Took All the Plasticware

Another employee recently posted a collection of things that had happened at the front desk.

One woman came over after breakfast and asked where she could find a fork.

The employee pointed her toward an area in the hotel shop containing plastic utensils and started helping another guest with a reservation.

When the employee looked over again, the woman was taking all of the plasticware.

She didn’t leave with all of it. The employee said much of it ended up scattered across a nearby table for staff to clean up.

He Said the Room Looked Nothing Like the Photos. There Was A Reasonable Explanation (He Didn’t Agree)

Another guest returned to the front desk about an hour after checking in and demanded a refund because the room he had been given didn’t match the photos he’d seen online.

He showed the employee what he expected: a roughly 750-square-foot room with a kitchenette and hardwood floors. But here’s the catch: those were photos of the hotel’s executive rooms, while his reservation was for a whirlpool suite.

The employee pulled up the whirlpool suite listing. The photos matched the room the guest had been given. The employee then opened his actual reservation, which also showed a whirlpool suite.

The guest still insisted that he’d booked the executive room.

About 20 minutes later, he returned with his partner, handed back the keys and said the hotel would be hearing from the police because they were being scammed.

According to the employee, his partner wanted the hardwood floors shown in the other room because she didn’t like the feeling of carpet under her feet. The third-party booking company later called the hotel about the complaint, even though its system showed the reservation as a whirlpool suite.

The Hotel Had Their Room Ready at 5 A.M. They Wanted Another One Before Seeing It

A family of three arrived at a resort around 5 a.m. after a long flight. Their room was already ready, even though normal check-in was much later.

The night auditor completed the check-in and handed over the room card.

The father then demanded a different room. When the employee asked what was wrong with the room, the guest hadn’t seen it yet.

“I don’t need to see, do room change now,” the employee recalled him saying in the Reddit post.

The father repeatedly mentioned that it was his tenth stay at the property. The employee explained that another room could be considered later when housekeeping arrived, but the family could use the room that was already available in the meantime.

Eventually, the son went upstairs to look at it; he came back and said they didn’t want the room.

When the employee asked what was wrong with it so they would know what to look for in a replacement, he still didn’t provide a specific problem. 

“Checkout Is at 11.” “So, 1 or 2?”

From the same recent front-desk compilation came a much shorter discussion, but stil… unbelievable.

A guest asked what time checkout was.

The employee said 11.

The guest stood there, apparently dissatisfied with the answer, before asking: “So check out is at 1pm or 2pm?”

The employee repeated that checkout was at 11.

Another Guest Asked for Two Extra Hours After Checkout Time Had Already Passed

Ten minutes after checkout time at the same property, another guest called the desk and asked for an additional two hours.

The employee said no late checkouts were still available but offered another 15 minutes as a courtesy.

Almost an hour later, the guest was surprised to learn that a late-checkout fee would be charged.

Arguments over late checkout aren’t limited to Reddit.

Former hotel worker Jessica Vanel has built a large following by reenacting situations from hotel work. In a TikTok viewed millions of times, she recreated an encounter involving a hotel loyalty member who had asked for a late checkout.

In the reenactment, the hotel couldn’t approve it because the room was needed for a wedding party. The guest stayed past checkout anyway and was charged a late-checkout fee.

She then complained about the charge and argued that her membership status entitled her to late checkout.

The employee reminded her that she’d already been told several times that late checkout couldn’t be approved and that the benefit depended on availability.

She Took a Phone Call During Check-In – Then Asked If She Had Checked In

Another guest from the recent Reddit compilation gave her name at the front desk and then turned away to take a phone call.

The employee continued processing the reservation, ran the card and made the room keys while the conversation continued.

About two minutes later, the call ended. The employee handed over the keys, ID and card and told the guest she was all set.

The woman put everything away, remained at the desk and then asked whether she was done and needed anything else.

A Family Arrived at 2:30 A.M. and Their Reservations Had Already Become No-Shows

A larger argument started when a family arrived at around 2:30 a.m. with two reservations made through a third-party booking site.

According to the employee, the system had already processed the reservations as no-shows. The hotel’s policy said the no-show charges weren’t refundable or transferable to a new reservation without specific management approval.

One family member argued that they’d already paid for the rooms and said he would stay at the desk until something was done. Another offered the employee $50. Someone started recording, while another member of the group called the third-party support line.

The security guard became involved and suggested calling the manager. The employee eventually did, and according to the Reddit account, the manager gave the same answer.

The comments were more divided than they were under many of the other stories.

Several people who said they worked in hotels questioned the property’s policy. One said they simply check prepaid no-shows in before running the night audit. Others argued that if the hotel was keeping the payment anyway, the guest should still be able to use the room for the remaining hours.

The original poster replied that they understood the family’s frustration but said the property’s software wouldn’t allow them to reinstate a reservation from the previous day.

A Guest Prepaid for a Month and Warned the Hotel She Would Arrive Late

Another fresh thread came from the guest, not the employee side of the desk.

The traveler said they had prepaid for an entire month at a long-stay hotel to get a lower rate. Their plans changed, and instead of arriving on the scheduled day, they would arrive the following morning.

They called the hotel in advance.

According to the guest, they were told the night audit would automatically cancel the reservation if they didn’t check in before midnight; they couldn’t check in over the phone; and their prepaid amount wouldn’t be refunded or credited.

After three calls involving the hotel and the company’s reservation line, a manager moved the reservation forward by one day.

The guest said they weren’t told this had changed the nightly rate until they arrived with a month’s worth of luggage and had to pay the difference.

Hotel employees in the comments said their properties would have handled the same situation differently. One said a prepaid guest who had already called to confirm a late arrival would simply have been checked in on the original date. Another said their hotel wouldn’t cancel a prepaid no-show in that situation and would complete the ID and card checks when the guest arrived.

What Hotel Workers Wish Guests Would Know Before They Arrive

Hotel worker @mamafromarkansas made a TikTok about the situations she wished guests understood before coming to the front desk. Several of her points match the stories hotel workers are still posting now.

Her advice included:

  • Check your reservation date. At her property, arriving the following day can mean the reservation has already been processed as a no-show.
  • Understand what happens when you book through a third party. She said hotel employees may have limited ability to change, cancel or refund a booking made and paid through another company.
  • Double-check the dates before blaming the employee. Booking confirmations exist for a reason, and the person standing at the front desk didn’t select the dates.
  • If the hotel says it’s sold out, asking again doesn’t create another room. Her advice was aimed at guests who continue asking whether the employee is “sure” after being told there is no availability.
  • Don’t leave children running around the property unsupervised. She specifically mentioned adults attending events or drinking at the hotel while leaving their children to roam.
  • Tell the hotel about a problem while you’re still there. Her point was that staff can’t try to fix a problem they only learn about later in a bad review.
  • Check the amenities before booking. If breakfast, a pool, parking or another feature is important to you, confirm that the property actually offers it.
  • Read the cancellation policy. At her hotel, calling on the day of arrival was already too late to avoid the property’s late-cancellation charge.

No-show procedures, late-checkout benefits, cancellation deadlines, and third-party booking rules vary by hotel, brand, and rate, so check the exact policy before the trip rather than trying to sort it out at the desk after something has gone wrong.
